Photo and Video Consent
Purpose for processing – why do we collect information about you?
We collect and use your information for the following purposes:
To comply with the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018, we need your permission before we take any official photographs or images of you for use by Dumfries and Galloway College in promotional or marketing material.
Photographs and images will be used solely to promote the activities of Dumfries and Galloway College and our partners, in the UK and overseas. Your images will be used for marketing purposes and may appear in any of our promotional material in printed or electronic form including websites, social media including Facebook and Twitter, in multimedia productions, course leaflets, posters or prospectus. Please note that websites can be seen worldwide and not just in the UK where UK law applies. This means that your photographs and images would be in the public domain.

You have given consent for the use – you have allowed us to use photos or video footage where you appear for appropriate college promotion/materials, such as:
- In and around college, in places that might be seen by staff, students and visitors
- On the college website
- On the college social media pages
- In news releases – editorial and adverts
- In wider marketing materials, used by the college and their partners e.g. College’s Scotland
What information do we collect about you?
We collect photos/video footage to promote the college in a positive light and showcase the activities and successes of our students.
We may also ask you to provide information such as a quote/testimonial to accompany your photo/video footage. We will only use your information and photo/video footage in a positive way in line with the platforms mentioned above.
How do we collect it?
Your personal information is collected by agreeing to have your photo taken or be filmed. It is then stored on the college’s secure systems and accessed by selected staff only. It will be shared on the aforementioned platforms in order to promote the college in a positive light.
If you were to withhold the information we require for this process, the consequences would be:
We would not use any photos/video footage that you have asked us not to use. If at any time, you wish to, you can withdraw your consent by emailing askmarketing@dumgal.ac.uk
Who do we share your information with?
Your personal information will, or may, be shared with any of the college’s partners such as College’s Scotland and College Development Network.
How do we look after your information and how long do we keep it for?
Photographs and video material will be stored securely in our image library for three years for the purposes described below. However, if your photograph(s) is used, it would be included in our historical archive and be retained indefinitely unless you requested it was deleted or Dumfries and Galloway College deleted it as part of our image library maintenance. You can contact us using the details at the end of this form to request the removal of photos at any time in-line with your privacy rights, but please note that in certain circumstances we may not be able immediately to erase or delete images that have already been published. Automated decision making processes, including profiling
We do not use any automated decision making about you.
